A day in the life of a Health & Safety consultant: what really happens during a site visit?

When businesses think about a health and safety site visit, they often picture a consultant walking around with a clipboard, spotting hazards and writing a report. In reality, a good site review is far more collaborative than that. 

Rather than simply identifying issues, the aim is to work with your team to understand your day-to-day operations, recognise what’s working well, and uncover practical ways to strengthen health and safety across the business. All while helping your team build confidence in managing health and safety day to day. 

Here’s what a typical site visit looks like from a consultant’s perspective. 

Starting the day: reviewing the bigger picture 

The day usually begins by signing in with site security and meeting the management team. 

Before heading out onto the site, the consultant reviews the findings from previous visits (if there have been any) and checks what has changed since the last review. This might include changes to employee numbers, responsible persons, site layouts, operating hours, or any Personal Emergency Evacuation Plans (PEEPs) for employees who may need additional support. 

The discussion then moves on to what’s happened recently on site. Has they experienced any incidents or false alarms? Have there been visits from enforcement bodies like the HSE, or the local Fire and Rescue Service? Have there been any significant operational changes? 

It’s also an opportunity to review actions from any previous inspections. Any outstanding items are discussed, with the consultant helping the team understand what’s been completed, what’s still in progress, and whether priorities have changed. 

These conversations are often two-way discussions rather than formal interviews. A consultant’s role is to ask the right questions, jog memories, and help clients spot areas that may need attention before walking the site. 

Out on site: seeing the reality behind the paperwork 

Once the review is complete, it’s time to head out onto the site with the team. 

This is where health and safety comes to life. 

Policies and procedures can tell one story, but a site walk allows the consultant to see how work is actually being carried out in practice. As they move through different areas, they’ll identify potential hazards, discuss observations with staff, and explain why certain issues may present risks. 

Importantly, it’s not just about finding problems. 

A key part of the visit is helping the team learn how to identify issues themselves and recognise opportunities for improvement. This practical, real-world approach helps build knowledge and confidence, making health and safety a continuous process rather than something that’s only discussed during a health and safety audit. 

Walking the site together also gives consultants valuable context that can’t always be captured in paperwork alone, allowing them to provide advice that’s tailored to the reality of the workplace. 

Bringing it all together 

After the site inspection, the consultant returns to review the findings, records, and supporting documentation. 

This stage is about connecting what the consultant has seen on site with the systems and processes already in place. The consultant considers what’s working well, where gaps exist, and what actions will have the biggest impact. 

The final step is producing a detailed report. This summarises the findings from the visit and sets out a clear action plan, highlighting any corrective actions that need to be completed and prioritising improvements based on risk. 

More than just an inspection 

The most valuable site visits aren’t about ticking boxes or catching people out. 

They’re a chance to have meaningful conversations, gain an independent perspective, and identify practical improvements that make the workplace safer, more compliant, and more efficient. 

For consultants, every visit is different. For clients, it’s an opportunity to step back from day-to-day operations and ensure health and safety is working as effectively in practice as it does on paper. 

Because a great site review isn’t about ticking compliance boxes. It’s about partnering with businesses to make health and safety work in the real world and giving them the confidence to keep improving long after the visit is over.
